Booking Agreement

 

Wedding Client Booking Agreement and Terms of Service

Between the Briars is delighted at the possibility to be working with you for your wedding day.

Communication: Please communicate with Between the Briars through the original email thread titled “Wedding Enquiry (your date) (your venue)” from betweenthebriars@gmail.com. Any communication or order adjustments outside of this email thread are not guaranteed.

Substitutions: Between the Briars reserves the right to make substitutions to flower varieties due to availability and product quality. As we are dealing with a seasonal living product, we cannot guarantee exact matches to images. We will do our very best to match to the best of our abilities and years of expertise. Referenced from your final proposal, design board and invoice, all which will be sent via email.

Installation in venues: It is the clients responsibility to ensure all floral installations are confirmed with the venue. Between the Briars cannot be held responsible for failure to deliver any installation, arrangement or rental item due to rules of the venue.

Payment: Full payment is due 4 weeks (28 days) prior to your wedding date, (unless otherwise arranged in writing.) We cannot deliver your order unless full payment has been received prior to your wedding date.

Booking Fee: A 10% booking fee will be required to hold your wedding date. This fee is non refundable

Venue and Date Changes: Between the Briars, will do its best to accommodate any venue or date changes. In the event Between the Briars can accommodate these changes, this may result in an additional consultation/design fee being added to the invoice, as a new proposal will have to be made for the client. If we are able to proceed with your date and venue change, your original booking fee will be transferred to your new proposal. If Between the Briars is unable to accommodate your date or venue change, Between the Briars will refund any payments minus the booking fee and consultation/design fee, granted this change occurs before 6 months to your date. Any venue date changes will be refunded according to our cancellation and refunds terms below.

Pricing: We reserve the right to adjust our prices based on market and seasonal fluctuations. This includes floral designs, consultation/design fees, assistant and delivery/set up charges

Decreasing your order: Between the Briars can only accommodate a 10% order value decrease once the proposal has been finalized. A 10% decrease can be made up to 4 weeks prior to your wedding date, granted it does not go below our working minimum at the time of adjustment. After 4 weeks (28 days) has lapsed no decreases can be made, If some floral designs are not needed this part of your budget will go towards other design elements.

Increasing your order: Increasing your order can usually be accommodated up to one week prior to your date, but must be verified in writing by Between the Briars.

Returning for breakdown, rental retrieval and floral removal: In most cases, Between the Briars will be returning the day after to remove any leftover florals, as well as retrieving any rentals from the venue. If you would like to keep your flowers or need a later return date please make prior arrangements in writing 4 weeks (28 days) prior to your event. Between the Briars cannot be held responsible if there are no written arrangements made prior to delivery. If no arrangements are made, florals will be disposed of after the event and/or florals may be left behind without a water source. If the client wishes to have flowers in a water source this must be arranged in writing by the client 4 weeks prior to the wedding date.

Day two for your wedding: Please inform Between the Briars if you are planning a day two for your event. We will do our best to accommodate your plans. Flowers are designed and conditioned for day one of your wedding, these may also be used for further proceedings. Although, due to differences in venues, weather and environment. Flower freshness is not guaranteed for day two. If you require high standard florals for a day two event, please state this during your consultation, we can design fresh florals for this as well, which will be added to your final invoice.

Limitations of Liability: The value of liability may not exceed 100% of the total value of the final invoice.

Cancellations and Refunds: Any cancellations 6 months before your date will result in a full refund minus the booking fee and consultation/design fee. Cancellations between 6 months to 4 weeks (28 days) before your date will result in a 50% refund of the total invoice. Cancellations between 4 weeks (28 days) and 2 weeks (14 days) to your date will result in a 25% refund of the total invoice. Any cancellations after 14 days to your wedding date cannot be refunded.

We reserve the right to decline our services if we feel we are unable to meet expectations due to clients expectations and/or budget constraints. This also applies to inability to work due to sickness or family emergency, in this case we will happily work with a secondary florist to deliver your order.

If this agreement has not been approved by ticking the box in the questionnaire prior to your wedding date, Between the Briars cannot deliver your order
